Skip the Fancy Apps: You Don’t Need Special Tools to be a Writer

I love to hassle my artist friends about the cost of producing their art versus mine:

“Do you ever think about how you need a $1000 camera to make your art, but I can do mine with a pencil stub and back of an envelope.”

And then I get escorted from their exhibition, and they don’t speak to me for months.

I’ve had several discussions with photographer friends — all professionals who make their living behind the lens — about whether they could produce high quality work with a cheap point-and-shoot camera or needed expensive equipment. They all agreed, good equipment made life easier, but their (breathtaking) skills let them overcome the shortcomings of the cheap equipment.

And so it goes with painters, sculptors, potters, jewelers, and furniture makers. Professionals can do a lot with cheap tools, but they really shine with high-quality tools and equipment. (Conversely, an amateur armed with the best tools doesn’t have the skill to match the professional using poor tools.)

Writers Don’t Need Special Equipment

Erik Deckers' Smith-Corona TypewriterThat’s the great thing about writing. Our work doesn’t improve with our tools. We don’t need hand-crafted pencils made from reclaimed barn beams and carbon fiber bicycle wrecks. Or pens with comfort grips and high-tech synthetic ink. Or frictionless paper that glides under our hands. (Although this Ogami stone paper is unbelievably smooth!)

A writer really can get by with a golf pencil and the back of an envelope. A writer writes; everything they do happens in their brain, and gets translated onto paper.

It’s the same on the digital front. There are no special apps that make us better writers. No apps that make our words shine or turn them into magical ideas.

Sure, there are plenty of tools that claim to be writers’ apps. Tools that shut off Facebook and tools that hide your entire laptop screen. But what can they do that a simple “I’m not going to use Facebook for the next two hours” self-promise cannot?

(Said the guy who checked Twitter three times in the last hour.)

There are minimalist writing apps that strip out all the bells and whistles of Apple Pages or Word. But you can also get TextWrangler for Mac or Microsoft Works for free, or just plain old Google Docs.

There’s even Scrivener, but that’s more of a workflow/information management tool. It’s great for large bodies of work, like a master’s thesis, novel, or screenplay, but for anything less than 1,000 words, it’s like taking a moving van on a quick run to the grocery store.

There are other tools, like RhymeZone.com and Thesaurus.com, but they’re not writer-specific. And don’t get me started about Evernote. I love Evernote, and have the pro version, but you can’t swing a dead cat/mouser/tomcat/grimalkin without hitting an article that lists Evernote as a “must-have writing app.”

What CAN Writers Use?

Don’t get me wrong. These are all fine apps, and I use several of them. But these aren’t must-haves like a photographer and his camera, or a painter and her brushes.

If you want special writing tools, get a basic notebook and a decent pen, and just start writing. Or pick the word processor and laptop you’re most comfortable with. Whether you handwrite everything, or you have a 21″ HD computer monitor and bluetooth keyboard, you’re going to get your best work done with the tools you feel comfortable with.

I’ve written in small grid-lined Moleskine notebooks with a Pilot G-2 gel pen for 12 years. I’ve pounded on a 60 year old Smith-Corona Silent Super typewriter, and an 80 year old L.C. Smith & Corona Silent. I’ve used Apple’s word processor (AppleWorks, ClarisWorks, and now Pages) since I was 20. I’ve played with different writing apps, including Facebook blockers, minimalist writers, and even Scrivener.

But none of these made me a better writer. None of these improved my writing or my efforts. Sure, some of them were more efficient, but you measure good writing in results, not efforts. No one cares about the process, just the finished product.

In the end, no tool will make you a better writer. Apps can improve the process, but they don’t improve your skills. While we can argue that better tools make better paintings/photographs/sculptures/tables, a better word processor doesn’t make a better story. Focus less on the tools you use, and more on your process, and everything will fall into place.

Unleash Your Content Marketing With New Avenues

Blogs and Twitter are no longer interesting enough as content marketing tools to stand out anymore. They’re just the necessities of doing business.

It’s like saying, “Our business uses computers!” or expecting job seekers to know how to use a word processor. Blogging and Twitter are a part of business now, and you stand out in their absence.

If you want to do serious content marketing, yes, you absolutely have to have a blog and Twitter. A company without it has to work a lot harder at SEO and online marketing just to keep up. But that’s no longer enough. If you want to rise above the crush of average, me-too content, you need to do new stuff that no one else is doing.

The Future of Content Marketing

One of the things I always mention in my Future of Content Marketing talks is that you need to go where your competition isn’t.

A few years ago, that meant starting a blog. But now that most companies — at least the more successful ones — have one, that’s just the price of admission. You aren’t unique or outstanding.

Taulbee Jackson wanted to show his clients that he knew a lot about enterprise content marketing, so we literally wrote the book on it.

You can create more better content, but even that will only get you so far. You’ll still get buried by the avalanche of mediocre content. So you need to try using different channels, formats, and publications.

This is what I usually say in my talks.

If they have a website, start a blog.
If they have a blog, start a podcast.
If they have a podcast, do a video podcast.
If they have a video podcast, write a book. Or host a monthly webinar. Or go on a speaking tour.

The point is, you need to do something else that other people in your industry are not doing. You need to be where the competition isn’t.

Just Be Audacious!

Starbucks has recently jumped into the content marketing game, creating a media arm of the already-giant coffee empire. It’s something to read while you’re sitting in your local Starbucks, drinking your half-caf soy chai latte. And it’s a bold choice for a coffee shop, but it ties into their philosophy of being “the third place.”

Once you log into the wifi, their login portal takes you to their coffee blog that shows you how to pour the perfect cold brew, or features a short article about their new coffee brand, 1912 Pike.

Or, best of all, to see their new original series, Upstanders, their “original collection of short stories, films, and podcasts sharing the experiences of Upstanders – ordinary people doing extraordinary things to create positive change in their communities.

While some people will pooh-pooh the idea of a food brand trying to break into the media market, don’t forget that Red Bull has gone from being an energy drink company to a media and extreme sports company that sells energy drinks.

But more importantly, if Starbucks can launch a small video and podcast series as a way to showcase outstanding people in their communities — seriously, watch The Kids Who Killed an Incinerator — then why can’t you start your own unusual content marketing?

“Make Good Art”

Neil Gaiman told the University of the Arts in 2012 to “make good art.” But that doesn’t just have to be advice for artists, or for middle managers who harbor secret novel-writing dreams. Companies can make great art that still works for them, but without staining it with overt marketing messages.

For example, a publisher could publish a flash fiction or short story series. Or serialize a novel, the way The Strand Magazine serialized the original Sherlock Holmes stories The publisher’s authors could even write short stories related to their books as a way to introduce people to their work. But don’t just publish them in an anthology that will only sell 2,000 copies. Publish them on your blog, push them out on Facebook, and turn them into an audiobook podcast. Get people interested in the stories and introduce them to other authors whose works you publish. Think of it as “if you liked this writer, you’ll love that writer” marketing.

Create a comic book. Back in the 40s, 50s, and 60s, General Electric produced a series of science-based comic books that were distributed to grade school kids up through the 80s. (I remember reading them when I was a boy.) And they recently hired new writers and artists to update their content with all new comic books. What’s stopping your company from creating comic books to help customers understand how your products work, or how to solve problems with the things you sell? There are plenty of small, independent writers and artists who would create some of the best comic art you’ve ever seen. (And given the fickle nature of the comic book industry, there are even several big-name veterans who are looking for work.)

They don’t even have to be superhero stories, but they can be illustrated explanations and conversations between two characters. Check out Gavin Aung Than’s Zen Pencils. Gavin takes great speeches and short essays by notable artists and thinkers, and turns them into long single comics, which are both moving and interesting. I’ve shared a few of these with my youngest daughter who desperately wants to be an artist. (His Jack Kirby comic/poster still makes me misty.) Think of these as comic infographics.

Start a small magazine about your industry. What if you could outperform the trade association journals in your industry? Better yet, what if there isn’t a trade association journal for your industry? Think about how much credibility you and your company would have if you became the voice of your industry. Imagine sharing the journal of your industry with your potential customers. Talk about a credibility boost. While everyone else is rocking a once a week blog, you’ve got an entire magazine devoted to solving your customers’ problems. This is going to make you be seen as one of the leading experts in your entire industry. Joe Pulizzi has done this with the Content Marketing Institute, publishing Chief Content Officer magazine every month, and is now regarded as the guy for everything related to content marketing.

Start a podcast. More than 57 million people in the U.S. (or 21% of the population) listen to podcasts at least once a month. That’s the same number of people who use Spotify; 13% use Twitter. What if you could only get .01% of that audience? That’s 5,700 people. That’s quite a sizable audience, especially if you’re in a niche B2B audience. Even 1,000 people would be outstanding, because that’s 1,000 people who are listening to your radio-show-that’s-secretly-a-commercial week after week.

And, a podcast is an ideal selling tool. You can invite potential customers to be interviewed on your podcast, which will intrigue them more about your company. They may not be interested in talking to your salespeople, but they’re more than happy to take a call from you about being on a podcast. Who knows how the relationship can develop from there? Even if they don’t take those sales calls, you can bet they’ll pay attention to your company even more after you interview them. (And if they become regular listeners, then they’ll be listening to your radio-show-that’s-secretly-a-commercial week after week.

Better yet, can you sponsor a radio theatre podcast? Decoder Ring Theatre in Toronto has produced some of the best radio drama in the vein of old-time radio heroes and detectives, and they reach several thousand people. (Disclosure: They also produced five of my radio theatre scripts a few years ago.) Other podcasts, like Canadaland, Grammar Girl, and Marketing Over Coffee, reach tens of thousands of people, and they’re sponsored by different consumer brands, like Casper Mattress, Audible Books, and MarketingProfs.

But what if you were to sponsor a podcast in the same way soap companies sponsored radio dramas in the 1930s and 40s, which later became our modern soap operas. Imagine having a bi-weekly or even monthly radio drama that drew in thousands of listeners just because they wanted the story? The audiobook industry is already a billion dollar industry, and I believe the audio theater industry could be a big part of that. There are already a number of popular audio drama podcasts. And while they may not be wildly popular, they still reach a devoted audience every week or month.

Content marketing needs to travel beyond just blogs and white papers. It needs to be more than the same old, same old that every other B2B content creator is trotting out to its customers. If you want to truly stand out, try something that’s so unusual, it will stand out just by virtue of being one of the first companies to do it.

Content Marketing: Winning Google Searches for Lawyers

A lawyer friend told me once, “No one likes lawyers until they need one.”

It was a good reminder about the function lawyers play in today’s society, solving problems, or preventing them. And that people don’t want to think about them, until their problem becomes all-consuming, and they can’t think about anything else.

I saw an interesting article recently on content marketing for lawyers that reminded me of my friend’s statement. I especially was struck by the headline, “People Search for Lawyers, Not Law Firms.” It reminded me that people look for lawyers the same way they look for any other service provider: they want a solution to a problem.

If you have a leaky faucet, you call a plumber. If your car isn’t working, you call a mechanic. Maybe you worked with one in the past, maybe you have a friend who recommends one. But chances are, unless that mechanic or plumber put a lot of money into marketing, you’re basing your decision on a relationship you/a friend have with a particular plumber or mechanic.

Barring that, you’re basing it on a Google search.

Chris Grant wrote on Passle.net about how lawyers can ensure they’re more easily found online, by using LinkedIn, blogging, videos, and Twitter to promote their personal brand.

Did you catch that last bit? Your potential clients are searching for those who can help with the problem they have.

When You Don’t Have Large Advertising Budgets

Of course, there are some law firms you’ve heard of. The giant ones in your city or state that spend a bunch of money on TV advertising, and coughed up several thousand bucks just to be on the back cover of the phone book. We’ve all heard of those firms.

But what if you don’t have back-of-the-phone-book money? Don’t worry about it. Instead, ask yourself:

  1. When is the last time you reached for the phone book? And if you did, did you look at the back cover? And did you look at the back cover at the exact moment you needed a lawyer?
  2. When’s the last time you watched TV commercials? When’s the last time you did it without fast forwarding or running off to the kitchen? And when is the last time you watched a TV commercial at the exact moment you needed a lawyer?

That’s not to say advertising is ineffective. It creates awareness. People will remember who you are when they do need you. But I’ll bet that many people who used the phone book and watched the commercials didn’t remember the name or phone number right off the bat.

I’m more willing to bet they Googled it until they found the right name.

Content Marketing: Providing Solutions to Problems

Write down your blog post ideas whenever you think of them, and write them later.

I’ve done content marketing for three different law firms, in three different cities and states, and covered three different practice areas.

One was for a general small-town attorney, who wanted people to find his firm when they were in trouble. We wrote blog posts about “what to do after you have an accident” and “should I represent myself in court?”

Another was for an employment law attorney. He wanted people to find his firm when they had been wrongfully terminated. So we wrote articles about “how to tell if I was wrongfully terminated” and “my supervisor is sexually harassing me.”

The third was for a major medical malpractice and personal injury attorney. He wanted to be found if someone had been seriously injured during a medical procedure or major accident. We wrote about what to do after a surgical procedure went wrong, or if an insurance company wanted to give a small settlement.

For all three clients, we had three goals in mind:

  1. To win local Google searches. Google looks at where a particular search is taking place, and then shows the results closest to the searcher. Try this as an experiment: pull out your phone and do a search for a plumber. I’ll bet the plumbers that come up are all in your city. Google provides those kinds of local search results, but only the best optimized websites — and those with a Google Business listing — will show up first on those local results.
  2. To demonstrate their expertise in their field. Once people find you, they need to know you know your stuff. It’s already assumed you do, since you graduated from law school. But what if you work in a highly specialized field? Or a very competitive field?
  3. To solve people’s problems People don’t just go searching for attorneys willy-nilly. It’s not like their three favorite online time wasters is Facebook, Candy Crush, and searching for law firms. No, people only search for lawyers when they need a lawyer. If you go back and look at the attorney examples I used above, you’ll see these are all questions or issues people have at a particular moment. And they’re searching for the answers online, not the phone book, not late-night TV commercials. So if you can demonstrate that you know the answer, at the time people need the answer, you’re the one they’re going to call.

I knew an attorney who specialized in intellectual property, and he often wrote about IP issues, partly to educate the inventors he wanted to appeal to, but also to show them that he knew more than the other IP attorneys they might be checking out.

Another attorney specialized in large-scale alternative energy issues. She was sought after by investors and utility companies for her expertise in that field. And she was able to demonstrate that by writing repeatedly about different local and national alternative energy issues that were happening around the country.

Attorneys who don’t have a lot of money to spend on advertising can reap great benefits from content marketing. You can boost your search performance and personal branding if you can write one or two blog posts per week. It gives you some great exposure and gets your ideas out there for your potential clients to see.

How to Use a Fiction Throughline in Your Content Marketing

In novel writing, there are certain elements or themes that run through the book like a thread. You can find this thread in movies as well. They’re common themes like “Debbie is afraid of commitment,” “William wants Scotland to be free,” or “Captain America hates bullies.”

This is the throughline.

It’s the running theme, a character’s reason for being, a plot or sub-plot, or even the language that’s used in the story.

Every few scenes, we’re reminded of the throughline once again, though only a touch, as the author or screenwriter tugs on it once in a while to remind us it’s there.

When scrawny Steve Rogers stands up to the bully. When he dives on a hand grenade during basic training to save his squadron. When he ignores Colonel Tommy Lee Jones and rescues his best friend, Bucky.

As Chuck Wendig of Terrible Minds says:

The throughline is an invisible thread that binds your story together. It comprises those elements that are critical to the very heart of your tale — these elements needn’t be the same for every story you tell but should remain the same throughout a given story.

Basically, Chuck says, it’s “the rope that the audience will use to pull itself through the story.”

Find Your Throughlines

What is the thing your company wants to be known for?

Not your mission statement. Nobody talks like that. Besides, most mission statements suck. Hard.

We will operationalize bleeding-edge strategies in order to maximize our core competencies to that we may holistically leverage best-of-breed solutions.

That’s not a throughline. That’s complete crap. (I sure hope that’s not someone’s actual mission statement. I made it up, and I had to shower afterward.)

Every kind of content marketing should use a throughline. Even solar panel manufacturers.

Instead, what do your salespeople and marketing staff brag about? What excites you about what your work? Why does your company do what it does?

That’s your throughline. If you’re a pharmaceutical company, your throughline is saving lives. (Or helping old men get erections. I’m not judging.) If you make solar panels, your throughline is saving the earth and reducing our dependence on coal. If you’re a business improvement consultant, like my friend Robby, your throughline is helping others be more efficient.

Once you know your throughlines, you’re ready to weave them into your story.

What Do Throughlines Have to Do With Content Marketing?

In content marketing, your throughline runs through your company’s overall story.

Your story is made up of chapters — blog articles, white papers, videos, podcasts — and your throughline should pull potential customers through on their buyer’s journey.

Your company’s throughline are those things you stand for and can truly deliver. If you know your company’s USP, a unique selling proposition, that’s your throughline. It’s the top benefit you offer your customers.

For Chick-fil-A, their throughline is chicken-not-beef. Their advertising is all about the cows telling us to eat more chicken. For Apple computers, it’s thinking different(ly). Their computer ads are about doing great things with the right side of your brain. For Pro Blog Service, it’s about providing high-level professional writing. So I write articles about advanced writing skills.

Not everything Chick-fil-A does is about their cows. Not everything Apple promotes is about being a creative professional. And at Pro Blog Service, we write about things other than writing.

But every so often, you’ll find that theme, that element, that throughline to pull you through their stories, on to the next chapter.

For our solar panel manufacturer, they can spend most of their time talking about the quality of their panels, their low cost, available financing, ease of use, money saved, and benefits over wind power.

But every so often, they need to tug on their throughline to remind us it’s there: “if we can use more solar power, we use less coal to create electricity. And less coal means a cleaner tomorrow.”

Content marketers like to call themselves storytellers, so here’s a real story element they can use. Novelists and screenwriters use them all the time, and so can you.

If you can weave your throughline into your content marketing, it will tell you what comes next, and it will move your customer down the right path. You can more easily plan your content schedule if you can follow the golden thread that’s waiting for you to wrap a story around it.

Six Crisis Communication Lessons to Running Your Business During an Emergency

Ten years ago, when I was in crisis communication for the Indiana State Department of Health, part of my job was to create an emergency contingency plan if we were ever in the field without power or an Internet connection.

Our job was to communicate with the public during an emergency, and we couldn’t let little things like power outages stop us. Our plan involved battery backups, cell phones, a Verizon MiFi, car AC converters, and even hand delivering CDs of videos and releases to local newspapers and TV stations.

I was reminded of all this when I had to send my Mac to the shop to have the logic board replaced, and they said they’re keeping it for 3 – 5 days.

I’ve run my business out of a backpack for the last seven years, and this marks the first time I’ve tried to function without my handy laptop. In just a few agonizing days, I’ve been reminded of those emergency preparedness lessons, and I’ve learned some new ones as well. Here are six ways to function during an emergency or equipment loss.

1. Make sure you already know how to use your gear.

I’m going to be working off my iPad and a Bluetooth keyboard for about five days, writing everything on Google Drive and using Google Chrome to update my client blogs. I had an old MacBook, but it bit the dust last month, which means I’m using the ultimate in dumb terminals.

Luckily I’ve used this kind of setup before, so I didn’t waste a few hours trying to figure out how to get everything to work. I fired up Google Drive, connected the keyboard, and I was off and running. But I was able to do it because I’ve already practiced this setup before.

Identify your backup gear, and try to spend a day using it. Find the holes in your knowledge and equipment, and fill them both quickly.

2. Store things in the cloud.

I have two external hard drives, but I also recently started backing up my important documents to my iCloud account, as well as Dropbox. So even if I don’t have access to everything on my hard drives, my important files are easily accessible.

Basically, I’m writing everything on Google Drive, including this article, since that’s how I share my client documents anyway. And while I normally keep my works-in-progress on my laptop, I uploaded everything to Drive before I headed to the Apple Store, just in case I got some bad news. I could also download my current articles from my iCloud and open them with Pages on my iPad.

And if my computer was completely destroyed, I can still restore everything from one of my hard drive backups.

3. Use cross-device apps and services.

I also use other cloud-based services for my business. My bookkeeping is on Freshbooks (they have an app, as well as their website), Todoist is my to-do list (which runs on all my devices, plus online), and I keep track of important information on Evernote (cross-device, cross-platform, as well as web-based). And my email portal is Gmail, which I can access from anywhere. (I could even go to the local library and answer emails if things were especially bad.)

However, the major DDOS attack last week reminded us how vulnerable we are if our access to the Internet goes down. This is why I don’t operate completely in the cloud, and still store things on my laptop. It’s why a cloud-only setup is not ideal. Even if we were cutoff from the rest of the world, anyone who still keeps documents on their laptop can still function. So don’t put all your electronic eggs in one basket. Strike a balance.

4. Keep everything powered up.

One lesson Hurricane Matthew reminded us of is to keep your devices and your batteries powered up at all times. Since my Bluetooth keyboard is cordless, that means I need to have batteries on hand. Since I’m working at home most of the time, I’m fine. But on those days that I’m working in a coffee shop, it’s smart to keep a couple batteries in my bag, just in case.

I also have to keep an eye on my iPad, which is running wifi and a Bluetooth. It slowly loses power over time, even when it’s plugged in, so I try to take a break every couple hours to let it recharge faster.

5. Use a password vault.

Security is also important, which starts with secure, hard-to-remember passwords. The problem with having everything on the cloud means trying to remember every password you ever created. Or worse, you can easily remember the one password you use on all your accounts. (Don’t do that. It’s extremely unsecure).

I use a password vault that syncs my various passwords between my laptop, tablet, phone, and the cloud. I never have to remember my passwords, I can either retrieve them from the vault by hand, or have them fill in directly. So I only remember the master password to get in, and my vault handles the rest.

This means I can even use a backup computer, and still access my various web services without using the Forgot Your Password retrieval function. I recommend a password vault like LastPass or 1Password, which both work on different devices and platforms. Even if you have a Windows laptop and an iPad, they’ll still sync up your passwords.

6. Practice, practice, practice.

When I was in crisis communication, we were always training and preparing for terrorist attacks, as well as natural public health emergencies, like avian flu. But rather than wait for years for one of those things to happen, we decided our best practice was to work on any small emergencies, like an e. Coli or salmonella outbreak.

My staff and I would put together a press release, gather the necessary information, and share it with the appropriate media outlets. We worked to get it out within an hour of our first notification, because we knew that would be our benchmark if we ever had a real emergency. While an emergency never arose, we were even prepared when we participated in full-scale exercises that involved the entire state, and would have been ready for the real thing.

Similarly, I try to spend a few hours every frew months working solely in the cloud or working on this iPad-and-keyboard setup to make sure I can make it all run efficiently when the time arises. I’ve still managed to meet all deadlines and respond to my emails, without any problems.

While this setup isn’t ideal for someone who focuses strongly on high-scale production work, and needs access to a lot of local information — photos, videos, and past work — it’s at least a great way for me to stay productive and give my clients what they need. It’s put a few of my wish-list projects on hold, but I’m still managing the important work.

By keeping backups of everything, and being very familiar with the way my backup equipment and services work, I was able to come home from the Apple store, switch everything on, and get back to work without missing a beat.

Do Content Marketers Need to Know Their Flesch-Kincaid Score?

Straightforward exposition entices additional positive behavior. (That’s terrible.)

Simple writing converts better. (Pretty good.)

Short words sell good. (Too much, too much! Pull back!)

Content marketers, if you want your sales copy to generate more leads, it needs to be simple. It has to be good, it has to be interesting, and most of all, it has to be simple.

I would also argue it needs to be interesting, but that’s for a different article. Plus, there’s no software that can really measure that, although Google’s Time On Site and bounce rate stats may be a step in that direction.

As Neil Patel wrote on the Content Marketing Institute,

When users don’t like your content, Google doesn’t either. It works like this. A user accesses your website and decides (in a few seconds) whether she likes it. If she doesn’t like it, she bounces. Google records this information – short visit, then departure – for future reference.

Another user does the same thing – quick visit; then bounce. Another user does the same thing. And another.

Google gets the idea. Your website isn’t satisfying users. They aren’t engaging with it.

Google decides that your website doesn’t need to be ranking as high, and you start to slip in the Search Engine Result Pages.

So if you want your content to be accessible, it needs to be easy to read. If it’s easier to read, people are more likely to stick around for more than a few seconds.

There are plenty of other factors to consider — page layout, use of sub-heads, use of white space — but the number one factor for a readable, accessible page is the simplicity of the language.

Content Marketers, Know Thy Flesch-Kincaid Score

If you want to know whether your writing is simple or not, you need to know your Flesh-Kincaid score. Specifically, your Flesch-Kincaid Grade Level Formula.

This is the score that represents the readability of a piece of text at a U.S. grade level, so it’s easier for teachers and parents to know how hard or easy something is to read. It basically matches up to the grade reading level required to understand the text. If you get a Flesch-Kincaid score of 8, your reader needs to be at an 8th grade reading level to understand it.

Hunter S. Thompson, Miami Bookfair International, 1988I checked out a few different writing samples to compare their Flesch-Kincaid Grade Levels.

Most mainstream newspapers are written at a 6th grade reading level, USA today notwithstanding. Other USA Today stories I checked ran between 10th and 13th grade, thanks to complex and long sentence structures, not overly complex words. That suggests problems with editing, not word choice. And I’ve found that most business writing clocks in at a 7th and 8th grade reading level

It’s not that our readers are stupid, or only have an 8th grade reading level, it’s that people don’t want to put a lot of mental bandwidth into deciphering more complex and convoluted articles. They don’t want to slog through a complex, jargon-filled multi-syllabic narrative. They want to read something easy.

And if your content is easy to read, they’re going to read it. If it’s not, they won’t.

How to Measure Your Flesch-Kincaid Score

There are a few ways you can measure your Flesch-Kincaid score. Microsoft Word users have that functionality built right in, so it’s easy to find. (Check the Show readability statistics box in your Spelling and Grammar preferences.)

For Apple users, use the Hemingway app, which you can use to identify not only your grade level, but the number of adverbs, uses of passive voice, and sentences that are hard to read and very hard to read (like this one). You can use the Hemingway app on their website, but I bought the $19.99 version on the Apple store. (It’s available for Windows as well.)

The problem with the Hemingway app is that they don’t give you decimalized grade levels though. If you want that extra accuracy, you can use the Readability Test Tool by WebPageFX. That’s the tool I used to get the scores above. My other complaint about the Hemingway app is that it doesn’t ignore html text; the Readability Test Tool does.

Content marketers, if you want your readers to stick around and read your work, it needs to be easy. Try to keep it at a 7th grade reading level or lower. That means concise words, succinct sentences, and compressed paragraphs. (That’s terrible.)

Sorry, I mean short words, short sentences, and short paragraphs. (Ah, much better.)

Using MacGuffins In Your Content Marketing

Despite what it sounds like, a MacGuffin is not a golf term. It’s a writing term used in movies, TV shows, and books.

A MacGuffin is a plot device used to motivate the protagonist to action. It’s something the protagonist pursues or protects, but there’s no real explanation of why it’s important. In fact, the object itself isn’t even important to the plot. It’s just the thing the protagonist and antagonist fight over, one of them trying to take it, the other trying to save it.

It could be a sandwich for all we care. All we know is that the good guy and bad guy are going to beat the crap out of each other trying to get it.

The MacGuffin usually follows one of two themes:

Protagonist: I have the thing.
Antagonist: I want the thing.

or

Antagonist: I’m going to steal the thing.
Protagonist: I have to save the thing.

The most common types of MacGuffins are objects or sometimes a person. Other times, they’re more abstract concepts, like love or survival. TVTropes.com has a great list of MacGuffin sub-tropes, like the Clingy MacGuffin, the Hostage MacGuffin, or the Egg MacGuffin.

The One Ring is a perfect MacGuffin

One MacGuffin to rule them all and in the darkness bind them.

Some famous MacGuffins are things like the plans for the Death Star, the Ark of the Covenant, or the One Ring. Even Private Ryan in Saving Private Ryan and the baby from Ice Age are MacGuffins. In all cases, the MacGuffin was important to the characters, but it didn’t matter as much to us. We care more about the pursuit of the thing, but not the thing itself.

Most importantly, says TV Tropes, do not confuse a MacGuffin for a plot device. The Death Star plans was not the plot of Star Wars, and the thing inside Marsellus Wallace’s briefcase was not the plot of Pulp Fiction. The plot was about people trying to get/save/deliver the plans and the what-was-undoubtedly-a-human-soul.

How Do MacGuffins Figure in to Content Marketing

In content marketing, the MacGuffin is usually the product you create or the service you offer. But you’re not going to talk about your product or service, because that’s boring.

How boring would Star Wars be if they spent several minutes on the construction timeline of the Death Star, its propulsion system and fuel consumption ratings, or the magnetic tape the plans were on? (Seriously? You have faster-than-light travel, but you store information on cassette tapes?)

That’s how people feel about your product. They don’t want to know about the materials it was made with, or the manufacturing process behind it. They want to know what your product will do for them.

Will it make them work better or faster? Can it help them make more money? Will it make them attractive to men or women? Will it prevent heart disease or male pattern baldness?

This is the old “features versus benefits” marketing discussion we’ve all heard. Don’t tell us what it does, tell us what it does for us.

In short, your product is the MacGuffin. It drives your content marketing story forward, but it’s not the thing you talk about.

What’s Your Content Marketing MacGuffin?

If you’re a marketing automation company, the MacGuffin is your software. If you’re a barbecue grill maker, it’s your grills. And if you’re a luggage company, the MacGuffin is your bags.

Which means your readers want to know more about travel. . . with your bags. They want to know about cooking outside. . . with your grill. And they want to know how they can get more leads. . . with your software. But they don’t want you to talk about your bags, grill, or software.

Just like the movies, we don’t actually care about the thing, we care about the pursuit of the thing, the relationships that form around it, and how the thing will change our lives. But the MacGuffin will always remain there as a silent part of everything you do.

The marketing automation company will write about “how white papers generate more leads” and “five best email newsletter headlines.” The assumption is the readers will track all the information on your software, but your articles shouldn’t discuss the software. It’s just implied.

Similarly, our grill manufacturer should talk about things like “gas versus charcoal grills” and “preventing grease fires,” but they should also share articles on new summer recipes and how to use a motorized rotisserie. Again, the grill is important — “I want to use the thing” — but we’re not focused on BTUs or the gauge thickness of the lid.

And the luggage company should write about vacation travel, packing tips, and the activities that necessitate carrying a suitcase. But they shouldn’t focus on the construction of the suitcase, its materials, or the manufacturing process.

In some cases, the MacGuffin is going to be a little more abstract (wealth management, plumbing), or it might be a particular person (a lawyer, a realtor, or an orthodontist). And in some cases, there’s no real MacGuffin at all. Not every movie has a MacGuffin, and not every company is going to be able to use one either.

But if you can identify yours, use it to drive your content marketing story forward, even if you never actually discuss the MacGuffin directly. It will always be there, always present. And in the end, it will become the most important thing of all.

Understand the Hero’s Journey for Content Marketing

Fiction writers and playwrights use storytelling structures to build their story arcs. As someone who has feet planted in both the fiction writing world and the content marketing world, I try to bring these two worlds together. So for the next few months, I’m going to examine the different storytelling structures and determine how they can be used in a content marketing setting.

Let me tell you a story about a young man who is forced to live with relatives, because his father is an evil bastard bent on conquest and villainy. The young man was spirited away as a baby, and raised in secret. When he comes of age, the young man meets a mentor who helps him grow, gain new skills, and ultimately cause the downfall of the father, who frankly, had it coming.

What story am I talking about?

Could be Star Wars. That description fits Luke Skywalker to a T.

Could be Harry Potter. Take out the father references, and we’re looking at the exact same scenario. Also, there’s no blue milk.

Could be Andre-Louis Moreau from Scaramouche, the French swashbuckling story in which a young man joins a theater troupe and learns the art of fencing.

It could be the plot of Fool, Christopher Moore’s humor novel, about Pocket the fool from Shakespeare’s Richard III.

It could even be the story of Dodgeball. Peter La Fleur leaves his world as a gym-owning slacker, and gets thrust into a new world of Dodgeball. He meets a mentor who helps him to defeat his greatest enemy, and wins $5 million and Ben Stiller’s wife.

Movie makers and fiction authors call this storytelling structure The Hero’s Journey. Joseph Campbell first called it the Monomyth in his book, The Hero With A Thousand Faces.

The Hero’s Journey usually takes 12 stages, and entire books can be written about it. I’ll try to do it in less than 1,000 words.

(Also, I’m using the word “Hero” and not “Hero/Heroine” intentionally. In the real world, it now refers to both men and women, while “heroine” is normally used in works of fiction. We’ve stopped using actress, comedienne, and manageress, and I think heroine is going that way as well.)

  1. Ordinary World. This is the Hero’s life before the story begins. They live on a farm, they live in a Hobbit hole, they’re a computer analyst. This makes us realize the Hero is like us.
  2. Call to Adventure. This is where the Hero’s life changes and they’re needed elsewhere. The secret message from Princess Leia, Harry’s letter from Hogwarts, Mulan’s father being drafted to fight the Huns compels them to move on.
  3. Refusal of the Call. The Hero may be eager to accept the quest, but they have fears they need to overcome. Luke was reluctant to leave until the Empire murdered his aunt and uncle. Mulan worried that she couldn’t pass as a man. Harry said, “But, Hagrid, I—I’m not a wizard!”
  4. Meeting the Mentor. Luke met Obi-Wan Kenobi, Harry met Dumbledore, Mulan met Li Shang. They trained, received advice, and got a boost to their self-confidence. The Mentor made the Hero feel like they could handle the task before them.
  5. Cross the Threshold. The adventure begins! The Hero goes willingly or is thrust into battle, but they leave the Ordinary World and cross into their new one. Diana Prince leaves the beautiful sunny shores of Themyscira. Harry literally runs through the 9 3/4 platform wall.
  6. Tests, Allies, Enemies. Our Hero is challenged in a number of different ways from a number of different sides. It’s not the final battle, but it shows him or her who’s trustworthy, reliable, and helpful, and who’s an enemy. This is where the Hero’s skills or powers are tested, and we learn how they’ll react when in a stressful situation. Diana Prince fighting the Germans in London or Mulan’s training montage.
  7. Approach to the Inmost Cave. George Lucas may have been a little too on the nose with this in Empire Strikes Back. During his training, Luke had a vision and went into an actual cave to fight Darth Vader. This is often an inner conflict the Hero has yet to face, and some of the original doubts may resurface.
  8. Ordeal. This is the most dangerous test our Hero must survive, whether physical or internal. Everything the Hero has learned is put to the test. Mulan fires the rocket that destroys the Hun army. Luke and Han blast the TIE fighters after they escape the Death Star. Wonder Woman fights Ludendorff at the German base. But this could even be a sort of death (or near death) for the Hero, and they are reborn stronger and with more power. The mentor may die here too. Luke lost Obi Wan, Diana lost Steve Trevor, and Peter La Fleur lost Patches O’Houlihan to half a ton of Irony.
  9. Reward (Seizing the Sword). After defeating the enemy and overcoming their greatest challenge, they receive a reward. Sometimes it comes in the form of an object, new knowledge, or even reconciliation with an ally. However the Hero has unfinished business to attend to before the story is actually over.
  10. The Road Back. The Hero is ready to go back home, back to the Ordinary World, only he or she is not quite finished. Luke and his friends escaped, but the Death Star is still out there. Mulan destroyed the Huns, but Shan Yu still lives. Diana Prince kills Ludendorff, but Ares was still alive.
  11. Resurrection. This is the final battle. The Boss Battle. The most dangerous, fiercest fight of all. And the Hero learns this isn’t their fight, they’re fighting for something bigger than themselves. Mulan has to save China, Luke has to save the Rebellion, and Peter has to save his crappy gym that smells kind of funny. In the end, they triumph, destroy the enemy, and are reborn. (Remember when Neo defeated the Agents at the end of The Matrix and got all better? Like that.)
  12. Return with the Elixir. This is often the Epilogue. The Hero returns to their Ordinary World (or some semblance of it). They have grown, learned many things, faced many dangers, and looks forward to getting back to the old life. Older, wiser, even a little sadder, but they’re happy to have done it. Like when Frodo and Sam returned to the Shire (read the book; the movie didn’t do this justice). Or when Mulan returned home. Or Dumbledore screwed Slytherin out of the House Cup and gave it to Gryffindor.

It’s important to remember that movies are not divided up into 12 equal segments that spend the same amount of time on each stage. Some stages are rushed through, others are simply skipped. For example, Harry’s statement to Hagrid, “But I’m not a wizard” was his one and only Refusal of the Call. He didn’t spend 15 minutes wrestling with the decision before continuing on. So if your content marketing stories don’t have all 12 steps, don’t worry about it.

So for the next few months, I’m going to examine the different storytelling structures and determine how they can be used in a content marketing setting.

Years ago, one of my first clients was a small mystery shopping agency. There were only four people on staff (one was part-time), and they had roughly $750,000 in sales per year. They’d been around for a few years, but it was a hand-to-mouth existence, and they were an average size company for their industry.

They needed help with blogging and social media, so we set to work. Their top goal was to rank high on Google for a few key industry search terms.

We started blogging on a half-time basis, publishing four articles per month and hitting those keywords hard. Within six months, they were generating enough leads that they tripled their sales (and grew appropriately), so we began publishing eight posts per month.

We taught the president how to do social media, helped her become a thought leader in her industry, and she was even asked to join the board of directors of her national trade association. She was sought out because of her expertise, and she was landing large clients. While we may have helped her generate the leads, she was traveling around the country, landing large corporate clients.

We increased their search rank even further, generated more leads, and they tripled in sales again. Then they landed a 7-figure contract with a national brand. And then tripled their sales one more time, growing to a staff of 27 people, all in a matter of three years.

That story? That’s a basic, pared down example of the Hero’s Journey, a storytelling structure used primarily in novels and movies.

In the Hero’s Journey, a young person is plucked out of their ordinary existence, challenged by an evil force, is mentored by a wise figure, and learns to triumph over their foe. (That’s simplifying it a lot. If you want to learn more, read last week’s article on the subject.)

In this story, my client is the Hero, we are the wise mentor, and we helped her get the skills needed to overcome her foe, Stagnation.

Can the Hero’s Journey Work in Content Marketing?

You’ve heard over and over that content marketing is just storytelling. The Hero’s Journey is just that: a storytelling structure. And while there are many ways to use the Hero’s Journey in novel writing and movie making, there are only a limited number of ways to tell this particular story, and they all usually involve the business leader, or sometimes the mentor.

Luke is plucked off the moisture farm on Tatooine and defeats the Empire. Harry is plucked from under the stairs and defeats Voldemort. Diana is plucked from beautiful, sunny Themyscira, defeats Ares, and can never return home.

A company owner turns her small company of 3.5 people to 27 people. A cubicle jockey goes on a personal fitness quest with a trainer, loses 100 pounds in a year, and runs a marathon. A young woman moves away from home to go to college, learns new skills, finds inner strength, and graduates at the top of her class.

Of course, as popular as the Hero’s Journey is, there are only a couple ways we can use it in a business setting, and most of them involve the case study.

Think about your basic case study:

Company A had a problem. They were losing money because of [outdated processes/lack of innovation/low morale/pirates]. So Consultant X helped Company A identify their problem through [interviews/research/data analysis/necromancy]. She identified three problem areas, and recommended that Company A take action. Within the first 12 months, they [revamped their processes/held team building retreats/restructured the organization/killed the evil wizard], and their profitability increased by 60 percent.

Even in a business setting, it still fits the Hero’s Journey:

  1. Call to Adventure:: The business recognizes the problem and takes steps to fix it.
  2. Meeting the Mentor: The consultant arrives and identifies the problem.
  3. The Ordeal: The business uses what the mentor has taught, and fights for its life. The company faces its enemies: stagnation, low morale, stiff competition, and so on.
  4. Resurrection: Victory! Although it’s a short time in a case study, this can take months and years. But it means the company has repaired itself and is on its way to recovery and getting back to normal.

But using the Hero’s Journey in this way means you can only have two viewpoints, the Hero’s or the Mentor’s. The business executive’s or the consultant’s.

Part of the reason is because everyone is the hero of their own story. Imagine your life as a movie: is it about you or a complete stranger? Are you the protagonist, trying to do good in the world? Or are you the wise mentor, providing wisdom to others so they can do good in the world?

Even stories about inventions are often Hero’s Journey stories.

The Hero’s Journey Doesn’t Always Work in Content Marketing

As you probably figured out, the Hero’s Journey is actually not a great story structure for content marketing, because it’s limited in its viewpoints — the Hero or the Mentor. Think of how boring a story would be if it were told from the POV of the plucky young sidekick. And how boring would a case study be if it were told from the POV of, say, their accountant.

“For months, I wasn’t very busy. Then some guy came to the office, talked to them for a while, and my days got busier. The end.”

However, when you’re writing these case studies, using the Hero’s Journey framework can make your story exciting, interesting, and will keep people reading all the way to the end.

Understanding Freytag’s Pyramid for Content Marketing

Fiction writers and playwrights use storytelling structures to build their story arcs. As someone who has feet planted in both the fiction writing world and the content marketing world, I try to bring these two worlds together. So for the next few months, I’m going to examine the different storytelling structures and determine how they can be used in a content marketing setting.

Among storytelling structures, Freytag’s Pyramid is one of the most common and easiest to understand. If you took any literature classes in school, you may have even heard of this one.

Based on the work of German playwright Gustav Freytag, Freytag’s Pyramid is applied to a typical 5-act play. (Sort of the Romans’ “new and improved” followup to Aristotle’s original 3-act story.)

The idea, said Gustav, is the traditional 5-act structure can be broken down like this:

  • Exposition: Important background information is laid out: characters, setting, previous events. It can be conveyed through dialogue, flashbacks, and narrative exposition. In Macbeth, the titular protagonist and his friends are visited by the Three Witches, who prophesy that Macbeth shall be king, and Banquo shall father a line of kings.
  • Rising action: A series of events that build to the climax. This is where the instigating event happens, which drives the protagonist to pursue his or her course of action. Macbeth and Lady Macbeth kill the king, frame the servants, murder the guards, and drive off King Duncan’s sons, Malcolm and Donalbain, all in their mad pursuit of power.
  • Climax: Not necessarily the final battle, but this is the point on which the play/story pivots. This is the turning point that changes the protagonist’s fate. If the play is a comedy, things were going badly for the protagonist, but now they turn around. If it’s a tragedy, then it’s the reverse. In Macbeth — a tragedy if there ever was one — things were going swimmingly for Macbeth: he and his wife were killing people willy-nilly, becoming the King and Queen of Scotland until, in Act III, Macbeth had Banquo murdered, and Banquo’s ghost showed up and went all Tell-Tale Heart on Macbeth.   • Falling action: In a tragedy, the conflict between the protagonist and antagonist increases and this becomes the focus of the play. In a comedy, the protagonist wins, in a tragedy, they lose. In Macbeth, things start going downhill for our king. He feels uneasy and starts to think maybe he shouldn’t have been such a murdering bastard after all. But, in for a penny, in for a pound; after Macduff flees, Macbeth orders his castle seized and his household murdered, including Mrs. Macduff and Macduff Junior.
  • Dénouement: Pronounced DAY-noo-mohn (from the French dénouer, or “to untie”), this is the resolution of the story. Conflicts are resolved, there’s a release of tension, and everything goes back to normal/a new normal is established. In a comedy, the plan comes together, the hero gets the girl/guy, and everyone is happy. In the tragedy, the protagonist often dies, and everyone says “Whew! I’m glad that’s over!” But, there’s always some glimpse of the new order or a new hope. For Macbeth, things went increasingly poorly for him. His wife yelled at the dog (“Out, out, damn Spot!”) and committed suicide, and Macbeth was beheaded by Macduff. Malcolm, son of King Duncan, is crowned king, and he promises to be less killy than the last guy.

    See how it all fits together? Nearly all of Shakespeare’s plays fit within this structure, although it’s important to note that stories will fit into more than one storytelling structure. There’s no right or wrong one.

    For example, The Hobbit is often considered a Hero’s Journey story, it can also be mapped out in a five act structure:

    1. Bilbo meets Gandalf and the dwarves.
    2. They have adventures on the way to the Lonely Mountain.
    3. They fight Smaug; Smaug dies. But this is not the end of the story!
    4. The Battle of the Five Armies, and the eagles save the day again.
    5. Relationships are mended, Thorin is buried, Bilbo returns home.

    (And if you start hollering about spoilers, the book is 80 years old. You should have read it by now.)

    It’s important to note that Freytag’s Pyamid is not ideally suited for modern stories, which can have 8 acts or even just a strung-together series of scenes. Can you imagine how terrible Avengers 2 would be if the Avengers defeated Ultron at the 1-hour mark? Then we’ve got 1:22 of the Avengers rebuilding stuff and talking about their feelings and shit. Plus, most modern stories have a few climactic scenes, like any Marvel movie. (That structure is called The Fichtean Curve, and I’ll cover it in a week or so.)

    However, Herr Freytag’s construct is a little more forgiving in a content marketing setting, because it doesn’t always have to focus on two characters, like the Hero’s Journey. There, you’re either the Hero or the Mentor.

    Freytag’s Pyramid still follows the exploits of a protagonist and an antagonist, but there are a couple of important differences. First of all, victory is not always guaranteed. Second, we can learn from these failures and use them as a cautionary tale. Third, we can learn about any follow-up and fallout from the climactic pivot point.

Don’t Ignore Written Content Marketing for the Sake of Video

Marketers everywhere have begun singing the praises of video so loudly, they sound like Oprah at Christmas.

“You need a video! And you need a video! Everyone needs a video!”

Sure, it’s the new and exciting way to share information. Everyone who’s got a mobile phone has the means for creating, distributing, and watching of all sorts of video content. I watch Netflix while I eat breakfast. My kids watch comedy videos throughout the day. And we’ve all used YouTube as a search engine to solve a problem — I changed out my air conditioning filter a few weeks ago, thanks to a South Korean video.

Except video is not, and should not, be the final word when it comes to content marketing.

The written word should still get most of our attention as content marketers. If you’re going to add video to your marketing efforts, then you need to increase your overall content marketing creation. Don’t replace written content with video content and hope for the same engagement rates.

For one thing, gathering information by video is time consuming. If people want to do a lot of research about a major purchase, videos will help, but your customers still want written specs, performance details, and product information. And they want to be able to look details up quickly, rather than watch 87 minutes of video to find one specific detail again.

(Think of it this way: if you want to know the horsepower of your car, are you going to Google it or watch a 10-minute product video and hope you catch it?)

For another, video viewing is not going to replace reading. We’re not going to stop reading books in favor of watching someone read them to us on video. If that were the case, the audiobook revolution would have been massive, and brought about a faster end to bookstores.

We’re also not going to stop reading news articles online in favor of videos of those same articles being read to us. And before you say “but TV news!” keep in mind that most individual news stories only get 20 – 30 seconds of airtime. And that there’s also a more thoroughly written version of each story on a news channel’s website.

In other words. . .

Video Will Never Replace the Written Word

I used one of these in high school. We thought we were hot stuff then!

So before you outfit your entire company with GoPros and YouTube accounts and flood the world with your video masterpieces, consider these three problems with video.

1) Most of us do not do well speaking off the cuff in front of an audience. We stammer, stutter, and lose our train of thought when we’re having a normal conversation, let alone if we’re in front of an audience and are not 100 percent prepared. And there are a lot of videos where people just hit record and started talking.

Don’t believe me? Pick a topic — how the original Star Wars trilogy is an allegory for today’s American political system — and record yourself talking about it for five solid minutes.

“But that’s not how I’d do it!” you protest. “I’d prepare and practice and make sure I got everything down just right.”

I know you will. Which means it will take 4 – 6 hours to produce a five minute video. Now squeeze that time into your normal workday of meetings, writing TPS reports, and doing your actual work.

Meanwhile, I wrote this blog post, including edits, in about 90 minutes. I could create four 5-minute videos in that same amount of time.

2) A visual element is not always helpful. A lot of video content is just talking head videos of someone straight staring at their camera, usually on their laptop, and talking to us for three to five to ten minutes at a time.

Why the hell are we watching this? What are you actually doing that’s so interesting that I need to stop everything I’m doing and stare at my phone to watch your mouth move?

Are there graphics? No. Special effects? No. Is their kid going to run in and do something awesome? No. It’s just that person’s head, talking, for several minutes without doing anything else.

This is an inefficient use of your viewers’ time. Your video can easily be replaced with an MP3 and nothing will change. There’s no actual visual value that requires the amount of focus we usually put into video viewing. This information could be shared in a podcast or a blog article instead, rather than us taking the time to watch you talk.

I started listening to the audio tracks of TED talks for this very reason. When I realized the talks are usually nothing more than someone standing on a stage with a few slides, I found I could listen to them in the car during my commute. Nothing changed, the information wasn’t any different, and my life wasn’t better or worse for having done it.

Here’s a good rule of thumb: if we can listen to your video without missing anything important, you didn’t need to make it a video. Consider making a podcast instead.

3) A lot of videos have poor production values. Most mediocre video content is usually shot on a mobile phone, and it shows. The lighting is poor, or the lens is dirty, or the person forgets and holds the camera vertically, so we all have to turn our heads 90 degrees just to see what’s going on.

And the sound is all tinny, like the speaker is in a giant coffee can, or sitting in the bathroom 20 feet from the microphone.

If you want to make good — and I mean good videos, not just “barely acceptable” ones — you need to invest in a good DSLR camera, a decent lavaliere/lapel microphone, and a tripod. And you need to get very good at using them. That means hours of practice, learning how to use the equipment properly.

Sure, you can make an okay cell phone video, but if that’s your company’s video marketing strategy, just shut the business down now and send everyone home. Otherwise, you need to hire a dedicated staffer whose sole job is to make videos, or you need to outsource your video production work to professional video marketers who know how to do this kind of thing quickly and efficiently. (For one thing, they can produce your 5 minute video in an hour or two.)

4) Short videos are inefficient. This is the biggie: The average person speaks at 100 – 150 words per minute, but the average adult reading speed is 300 wpm. (It’s also 450 wpm for the average college student, and 575 for high level executives).

That means a 300 word video will take 2 – 3 minutes to watch, but your average customer can read that same 300 word article in 30 – 60 seconds. Meanwhile, your college student will read it in 45 seconds, and your executive will read it in nearly 30.

This article clocks in at roughly 1600 words, which should take approximately 5 – 6 minutes for the average person to read (3+ minutes for our average college student, slightly less than 3 for our executive). But if I read it to you in a video, you’ll have to watch it for 10 – 16 minutes.

Now, imagine reading 12 1000-word articles in your favorite business magazine versus watching 12 videos of the same word count. That’s 24 – 48 minutes of reading versus 120 minutes of viewing.

Videos are great if you can add strong visual elements to them, like Moz’s Whiteboard Friday videos. There, Moz president Rand Fishkin lays out the latest research and developments in search engine optimization, using a whiteboard to illustrate his point.

But without the whiteboard, he’s just another Wil-Wheaton-with-a-handlebar-mustache lookalike talking to a video camera, and the information is much less enjoyable to watch or easy to absorb.

Bottom line: I don’t want to watch someone talk to me for 5 minutes when I can read that same block of text in less than 2 minutes. Combine that with bad production values, poor sound, and lots of hemming and hawing, and you can understand why “Just flip on your phone’s camera and start talking” is bad advice.

By all means, use video in your content marketing. It’s important, it’s helpful, and it’s the wave of the future. But just for God’s sake, do it right! Get proper equipment, learn how to use it, and write scripts of your talk beforehand. Practice and prepare. And if you need to, join a Toastmaster’s club and improve your public speaking.

Just don’t half-ass your video content because someone told you it was as easy as putting your phone in selfie mode and talking into it.

When it’s done properly, video content is a beautiful site to behold: explainer videos, demonstration videos like Will It Blend, or even entertainment videos, like JW Marriott’s amazing “The Two Bellmen” series. Even videos of you giving a talk at a conference are great uses of video.

But don’t expect video content marketing to replace written content marketing anytime soon. Don’t fire your copywriters and replace them with GoPros and Quentin Tarantino wannabes.

Video will expand over the coming years, and we’ll be able to make it look better more easily and for less money, but don’t stop focusing on improving your writing skills or your written content.

A Simple Content Strategy for People Who Hate Content Strategy

There’s a great scene in John Cusack’s Better Off Dead where he gets skiing advice from Curtis Armstrong: “Go that way really fast. If something gets in your way, turn.”

I can think of no better advice to give someone who wants to do content marketing, but hates content strategy: “Create content for your customers. If something unexpected comes up, deal with it.”

For one thing, too many people put a lot of stock into developing complex content strategy. They draw up battle plans and strategies that would make military planners weep with envy. They overanalyze, overplan, and create year-long calendars of what they want to say on a particular day at a particular hour when Venus is in Gemini.

It’s quite a sight to see a spreadsheet with 500 or more tweets scheduled over a 12 month period.

It’s heartbreaking to see someone’s look of emotional devastation when the entire calendar has to be deleted because of a fairly minor change to the business, their industry, or industry regulations.

(You could hear the screams two counties over.)

A content strategy shouldn't look like a military strategyOver at Contently.com, Joe Lauzakas wrote about the importance of content strategy in Ask a Content Strategist: My Boss Wants Me to Write Blog Posts Without a Strategy. What Do I Do?

He cites all kinds of important statistics like, “According to a 2017 Contently survey, 98 percent of marketers believe that “having and following a content marketing strategy is important for content marketing success.” and “Per CMI’s 2018 B2B Content Marketing Trends survey, 62 percent of content marketers who rated themselves as very successful or extremely successful have a documented content strategy.

And he’s not wrong. But those strategies don’t need battlefield maps and years-long spreadsheets. You should be able to articulate your strategy in less than 30 seconds or on a single piece of paper.

Here’s a quick and dirty content strategy that should see you through an entire year, never need revising, and cover nearly every contingency.

1. Pick 2–3 main benefits of your product.

Or 2–3 services you provide, or 2–3 verticals you serve. These are the three things you’re going to write about the most. In fiction writing terms, this is your A story, B story, and C story. That is, you’re going to write about your main point (A story) the most, second main point (B story) second most, and so on.

Think of a sitcom: the A story takes around 13 – 14 minutes of a 22-minute episode, the B story is going to get 4 – 6 minutes, and the C story is going to get the remainder.

Your content should get this same kind of attention. The thing you’re known for the most should get two-thirds of your attention, and so on.

And if you focus on the services or verticals, you should still write about the 2 – 3 main benefits you offer each service/vertical. For example, if your main clients are lawyers, mystery shoppers, and dachshund wranglers (a dachshund literally just walked by as I wrote this), then you need to talk about the 2 – 3 benefits that lawyers, mystery shoppers, and dachshund wranglers will get from your products. Now you’ve got anywhere from 6 – 9 running topics for blog articles.

Nearly everything you write about should stick to one of these three benefits. You can occasionally deviate from it, writing about company history, special awards, or notable events. But otherwise, everything needs to focus on your 2 – 3 regular topics.

2. Pick 3 or 4 THEMES for your content strategy.

These are the kinds of articles you’re going to write; they’re going to fit into one of these themes, but still focus on one of the categories mentioned above.

Let’s say you own an IT consulting firm, providing computer networking and troubleshooting to small businesses. You could pick a theme-based calendar as follows:

  • Week 1: Write a how-to article.
  • Week 2: Write a client case study.
  • Week 3: Write about computer security.
  • Week 4: Write about IT industry news.
  • Or if you’re a dachshund wrangler, your content calendar would look like this:

    • Week 1: Write a training article.
    • Week 2: Write a story about your own experiences and adventures (a personal case study).
    • Week 3: Write about dachshund health and diet.
    • Week 4: Write about the dachshund wrangling industry.

    Next, come up with a Twitter schedule to tweet about these four themes on a rotating basis. Or you’re going to skip the case studies, and tweet curated articles about topics 1, 3, and 4 once per day (Don’t forget to tweet and post updates about your own blogs too.)

    Just keep it loose and flexible. If you have some breaking industry news that has to publish in week 2, swap it out with the case study that month. And if you ever have a major emergency or important announcement (like a product launch), that supersedes everything. You don’t have to make up the missed days, just pick it up the next time it comes around.

    Or publish two articles that week. There are no rules to this!

    Don’t forget to connect to people who have IT or dachshund wrangling questions (item #4). Communicate with them like real people, and answer their questions. Don’t pepper them with an all-news format. That’s boring and people hate it.

    3. Commit to using all content

    Lauzakas’ article also said, “According to SiriusDecisions, 65 percent of all content that brands produce goes unused. There are a few big reasons for why: content is hard to find, unknown to users, irrelevant, and low quality.”

    First, I’m not going to say “produce high quality content” because that’s stupid advice. I shouldn’t have to tell you that. It’s like telling you to “drive safely” because I think you’re going to go careening all over the road. (You’re not, so the advice is pointless. You’re not going to intentionally produce shitty content, so telling you to write good stuff is pointless.)

    But I will say that it’s absolutely necessary that you commit to using any piece of content you produce. If you write an article, publish it. If you write a tweet, post it. If you produce a video, put it on YouTube. And then promote it.

    If you don’t use it because it wasn’t good enough, then that’s on you. That’s not a lack of a strategy, that’s because you’re not willing or able to, well, produce high-quality content.

    4. Create a basic human-centered social media promotion strategy

    This isn’t that hard either. As Jason Falls is fond of saying, “Share good shit.”

    These days, social media seems to be more about blasting out one-way marketing messages that don’t engage anyone. But you need to rethink that, since it’s clearly not working.

    Think about your TV viewing habits. Do you fast forward through all TV commercials? Of course! We all do! We hate ads. And that’s how people feel about your marketing blasts.

    Stop treating Twitter and other social channels like an advertising medium. Stop posting “hey, read this!” messages over and over. There are Twitter bots that do nothing but post article after article after article, sending over three dozen tweets in a single day that aren’t engaging or interesting. (And if it’s real people doing this, they should be ashamed of themselves.)

    Instead, communicate with people. Talk with them. Have conversations. Ask and answer questions. Share their posts. Treat people like people, not like advertising viewers. Then, when you do occasionally have something of your own to promote, they’re more likely to read it and share it themselves.

    Guidelines, Not Strategies

    To be honest, this is the kind of content marketing strategy I use for all my clients. We focus on a few recurring topics and themes, we use all blog posts that we write, and we promote everything. We even have a basic calendar that says “we’ll write X number of articles about this topic, and Y number about that topic.”

    Other than that, there’s no need to create a complex content strategy. Remember, if you can’t articulate your strategy in less than 30 seconds, or on a single page, it’s too complicated.

    Do You Even Need a Style Guide? Not Necessarily

    What’s the proper way to make an apple pie? Are they shredded, diced, or sliced apples? Do you make your own crust or buy pre-made crusts? Do you have a fancy lattice top or the Dutch apple crumble top?

    And whose recipe do you follow? Is it the first one you Googled, or is it Memaw’s secret family recipe handed down from generation to generation?

    Ask this question on Facebook, and you’ll have plenty of strong opinions from plenty of people, and about 12 back-and-forth arguments before someone is calling someone else a Nazi.

    Style Guides Are Like Apple Pies

    This is how people, especially writers, feel about their style guides.

    Different style guide examples. It's hard to choose the right one.To them, their style guide is the One True Guide, their Bible about how issues and misunderstandings about language, punctuation, and even grammar are to be handled.

    There are a few dozen style guides, including ones from the Associated Press, Chicago Manual of Style, American Psychological Association, Modern Language Association, Turabian, Council of Science Editors, and even The Elements of Style.

    And you’ll find outspoken proponents of every one of them.

    Each person will insist that their style guide is the right one and will argue with those heathens who don’t agree to worship The One True Guide.

    Except there’s no One True Guide.

    No one is able to lay claim that their guide is the definitive way to punctuate sentences, abbreviate states, or denote time (a.m./p.m. versus AM/PM).

    (But you can have my Oxford comma when you pry it from my cold, stiff, and dead fingers, Associated Press!)

    Each guide is assembled by learned editors who have heated discussions about each new entry and change in their guide.

    They’ve discussed and debated new issues as they come up, they look at how language is being used and written in society, and they update the guides to reflect those changes when necessary.

    In May 2012, the Associated Press said they would no longer object to using the word ‘hopefully’ at the beginning of a sentence, rather than making people say ‘I am hopeful’ or ‘It is hoped that.’

    People went nuts. They howled in protest, they screamed and tore their garments, and the Internet burned for three days. People said they were going to die on this hill and they weren’t going to let any stupid Associated Press tell them how to use English when Mrs. Kugelschreiber had drummed this rule into them so many years ago. They were going to stick with the “right” way to do it, despite what these so-called experts said.

    Ahh, innocent times.

    Of course, the angry mob missed two important points:

    1. It was a made-up rule to begin, having been created in the 1960s. Before then, it was acceptable to start sentences with “hopefully.” Besides, there’s no rule about starting sentences with other floating sentence adverbs like “sadly,” “unfortunately,” and “surprisingly,” so this one was just something people latched onto without understanding why.
    2. The rule only applied to writers and editors who worked for the Associated Press. It had nothing to do with general language usage. People were free to start or not start sentences with “hopefully” to their heart’s content.

    This is the important thing to remember about style guides: While these are prescriptive guides, they are by no means the official rules for The Way English Is Done. These guides are only for a particular job, field, or organization.

    The Associated Press Stylebook tells writers about the rules they must follow when writing for the Associated Press, although many non-AP journalists use it. The New York Times Manual of Style and Usage is only meant for writers and editors at the New York Times. The APA Publication Manual from the American Psychological Association is written for academics in social sciences, like psychology, speech communication, linguistics, and sociology.

    And if you’re not part of those organizations, you are not bound by those rules.

    Which Style Guide Should I Use?

    Bloggers and content marketers can argue about which style guide is the best, but there’s no right answer. I always recommend bloggers use the AP Stylebook, because it’s small, inexpensive, and addresses 95% of our issues.

    I also like the AP Stylebook because many bloggers act as citizen journalists, which means we should follow the guide that most other journalists use.

    However, there’s no real guide for bloggers to use. We’re free to pick and choose, but we do so voluntarily, not because there’s an official Way English Is Done.

    Bottom line: As long as you spell words right and put them in the right order, the rest is up to you. The benefit of a style guide is that it helps you be consistent throughout your writing. It means you always know where to put punctuation, whether you’re going to follow the postal abbreviations for U.S. states, and how to capitalize headlines.

    And whether you should use the Oxford Comma or if you’re a filthy, godless monster.

    This means you can pick one you like the best and are most familiar with, or you can even create your own style guide. Just make sure you follow it consistently and apply it to all of your business writing — blog articles, web copy, brochures, emails, letters, and even internal communications.

    Encourage Your Employees to Become Rock Stars

    Over the last 20 years, I have worked for (and known people who worked for) bosses who did not want their employees to become prominent names in their industry. Whether they felt threatened, thought it distracted them from their “real” work, or thought it was a waste of time and resources, these managers didn’t like employees who had name recognition

    One friend — let’s call him Burt O’Higgins — went to work for a software company after spending years developing his own personal brand, becoming one of his industry’s top thought leaders. The company considered it a real coup to get my friend to work there. “But,” they said, “you can’t speak at any more conference events as yourself. You can’t be “Burt O’Higgins from Big Software,” you have to be “I’m from Big Software, my name is Burt.”

    They couldn’t give any logical reason why they didn’t like it, but the message was clear: you’re more popular than us and we don’t like it.

    So Burt left, started his own company, and worked for Big Software as a freelance contractor, charging more than his old salary and working fewer hours. And he got to speak at as many conferences as he wanted, which boosted his own popularity and increased his client base.

    Big Software might have benefited more if they had just let Burt be Burt, do his thing under his own name, and still attract plenty of attention for his employer.

    There’s nothing wrong with letting your employees be industry rock stars, becoming one of the popular thought leaders that others look to for new ways of thinking. In fact, there are a few benefits your company will see by helping your employees become those leaders.

    1) It makes them effective communicators

    Every job description I see requires “effective oral and written communication skills.” Speaking at 4 – 6 conferences a year is going to build up effective oral communication skills. Writing articles for trade journals and blogs is going to develop effective written communication skills.

    And if your people don’t have those skills, send them to Toastmasters. Pay for books and training courses. Send them on seminars where they can hone those skills. Pay for memberships in professional associations. And give them an outlet to express all this newfound knowledge.

    Then unleash them on industry and allied conferences. Encourage them to write articles for trade journals or the company blog. Ask them to speak at conferences. Make sure people see your rock stars at different industry happenings, so they know your company is serious about thought leadership in that field.

    But best of all, think about how much better your rock stars will be at communicating fpr your company as well. Not only will they be better at communicating internally, but they’ll be doing some great marketing and brand awareness building for your company too.

    2) Your company looks like a great company for hiring them

    One thing GE was known for during the Jack Welch years was for turning out great CEOs for other corporations. Partly because Jack wasn’t going to leave short of a military coup, but also because when GE executives reached the VP level, they were so good at their jobs that other corporations wanted them to run their own companies.

    The same thing happened to the Oakland A’s in the early 2000s. (Read Moneyball by Michael Lewis. It’s not just a baseball book, it’s a primer on unorthodox-but-effective corporate management.) The A’s scooped up baseball players who didn’t fit the traditional baseball mode, helped them develop their best skills, and turned them into the kinds of ballplayers that other teams wanted badly. And the Oakland A’s became a stellar baseball team to boot, because they built the team around their players’ strengths.

    So how cool will your company look when you start churning out superstar after superstar? How many CMOs can you create? Or HR directors? Or CFOs? Or national sales managers? Your company can be seen as an incubator for some of your industry’s leading talent if you just help them develop.

    3) It’s free marketing

    My friend Burt would go to 6 –10 conferences every year and share his knowledge. He used his clients as case studies, but he never made sales pitches. Instead, he just shared stories and ideas with a rapt audience for an hour — an audience filled with people who hired experts like him.

    Now, imagine your sales and marketing people speaking at conferences, demonstrating their knowledge and skills about the problems your company solves. Imagine a water filter company educating coffee shop managers and brewers about pure water at a national coffee or craft brewery conference. You can educate people about the importance of pure water without ever talking about your product, but when people read the name in the bio, they can put two and two together.

    When I speak at conferences, I talk about how to improve your writing, or the future of content marketing, or how to use novel writing techniques in business writing. I never do a sales pitch, but my expertise clearly speaks for itself. And I’ve gotten clients just by speaking at industry conferences.

    So what happens if your marketing director speaks at an industry conference, or your HR director, or your operations manager, or even your CEO? You can have a big influence on hundreds of people without once mentioning your product or company just by sharing your knowledge. Now, what if you could unleash 10 rock stars on the different conferences of the industries you serve.

    4) You’re creating rock stars for your company

    “But people will improve their skills and they’ll want to leave our company,” is a common refrain among managers.

    Seriously? You don’t want people to improve their skills? You’d be happy that average people with average skills are staying at your company for ten or fifteen years? That’s the most depressing thing I’ve ever heard.

    Let’s face two facts. First, people are going to leave your company. No one stays at a company very long anymore. That’s how employment works these days. So train them, help them develop, and wish them well when they leave, knowing you taught them enough that someone else wants them. And you’ll get their best work out of them while they’re there.

    Second, the people who leave will become decision makers and influencers in other companies. What if your marketing manager leaves to become a VP of Marketing at one of your clients? What do you think she’ll tell her new colleagues if she leaves with bad feelings? Conversely, what will she tell her new colleagues if she leaves with your full support and gratitude?

    (This is also why it’s not a bad idea to hire people in their 50s and 60s. Rather than turning them down because “they’re only going to be here for a few years,” recognize that no one says in their same position for 30 years anymore. Hire older workers and get some of the very best, most experienced people you’ll ever find. But that’s for another article.)

    Developing rock stars for your company has many upsides and very few downsides. You’ll create top talent for your company, which means they’ll do their best work for you. They’ll be out promoting themselves (and thus, your company) with their speaking and writing. And they’ll moving up to positions of influence and decision making, which means you’ll have allies in other companies.

    The only downside is that you may have people who are more well-known than you. But you can turn that around and become known as the company (or manager) who produces rock star after rock star. So start writing and speaking about how to create rock stars within your company, and guess what you can become. . .

    One of the problems with having a blog about content marketing is that people want to constantly post guest articles on my website. And just like the spam connections I get on LinkedIn, these all follow a certain formula.

    Dear NAME,

    I enjoyed reading your blog post at URL, and thought you might be interested in an article about TOPIC.

    We just wrote an article about SIMILAR TOPIC and thought you might want to post it on your blog.

    And don’t forget to include the backlink that will boost our skeezy client’s Google search ranking and possibly help affiliate sales. [I’m paraphrasing that last part a bit. — Erik]

    And no, I’m not exaggerating. I get two or three of these messages per month. They all follow the same formula, they all want to publish something that is sort of tangentially related to what I write about (content marketing and writing), and they all praise an article they never actually read.

    But I got an email last week that may qualify as Worst Email Ever. I could tell that not only was the entire process automated, the author hadn’t actually read any of the information he purports to have read. This is what I got.

    Four issues told me that J— hadn’t read anything.

    1. The “article” he supposedly read is a Tags link on my blog. You can click a tag on any blog and read all the articles that have been tagged with that keyword. So it’s not an article, it’s a whole list of articles. He would know that if he had even briefly skimmed that page.
    2. The “solid post” he’s read in the past? It’s a URL for Beef & Boards Dinner Theater. Beef & Boards used to be a national chain of dinner theaters that closed down. The only one left is in Indianapolis, Indiana. The URL is to an entire website, not a single blog post.
    3. The article he wanted me to link to was about how to make beef stroganoff. And why? Because I wrote an article about a place called Beef & Boards. Again, if he had read my blog, he would see there are no recipes; if he had read the actual article I wrote, he would have seen there’s no mention of food.
    4. This was the first and only article I ever wrote on this blog where I mentioned Beef & Boards, and it was based on an interview I did with an actor in a show at that theater. I was a travel writer for several years, and I wrote about Beef & Boards shows on other blogs, but I never did a theater review on my work blog. J— would have known that if he had read other articles; he clearly didn’t.

    So I wrote back to J— and said that while I was not interested in publishing a beef stroganoff recipe on a blog about writing and content marketing, I would make sure his request appeared on my blog rather soon.

    And now it has.

    A Plea to All PR Flacks and Content Marketers

    To those of you doing blogger outreach, please please PLEASE write individual letters to your contacts, not form email.

    Don’t find a way to automate this so you can do more faster. This is not something where you want to pump out hundreds and thousands of emails every week. If you’re only going to get a 1% success rate, the trick is not to send out more spam, it’s to give your efforts a more personalized touch. Reduce the number of people you contact, and don’t waste the energy and effort on contacting people who aren’t a good fit for what you do.

    Look, you already have a job where you sit down all day and the only things you move are your fingers. Don’t find a way to be more lazy about it.

    Instead, just try these simple steps:

    • If you say you read an article, make sure you actually read it. Quote something from it. And not just the opening sentence. Talk about why that article is important to you.
    • If you’re going to send any links, copy and paste them into your browser and then test them. Make sure you grabbed the right link, and that it actually works.
    • Tell the other person why you think your article would make a good fit on their blog. It shows that you read more than one, which means you’re actually interested in them. They’re more likely to accept your request that way.

    Blogger outreach is tough because you’re writing to people who aren’t likely to write you back. But that doesn’t mean you should take shortcuts or automate the process to make it easier. I’d be willing to wager that you’d get a better response if you wrote 10 individual emails per day than sent out 100 automated messages.

    It’s time you finessed this thing called guest posting.

    Guest posting allows you to reach a wider audience by posting your articles on related authoritative websites. It strengthens your brand and gives you a massive boost in credibility.

    Like with anything when it comes to digital marketing, however, there’s a right and a wrong way to do it.

    In this article, we take a look at what you should do, what you should not do, and what kind of quality content you need to be posting.

    Identify Your Value

    You won’t be able to build authority if you don’t bring any value to the table. The only reason a website will allow you to publish an article on their website is because it offers both them and their audience a massive amount of value.

    No value = no guest post.

    There’s another reason why value is important. As well as educating audiences, solving their problems and positioning yourself as their go-to expert, the Google algorithm also prefers valuable content.

    According to research, long form content gets more traffic than any other type. This is content that contains more than 1,000 words, and which offers in-depth, valuable and actionable information to the reader.

    Each time you pitch an article to another website, identify your value first. This will make it so much easier for the blogger to say yes to you.

    Don’t focus too much on your ‘tips and tricks.’ Show them how your valuable content is going to benefit their audience.

    Ask yourself:

    • How is your content is going to benefit people?
    • What issues are you addressing and solving?
    • Are these issues that people care about?

    Solid content by itself won’t work if no one can see where the value is.

    Research The Websites You’re Targeting

    You can’t build authority if you don’t do your research. Unless you know enough about the websites you’re targeting, as well as their audiences, your content might miss the spot.

    Take a look at your target website’s audience and ask yourself some questions:

    1. Will they benefit from a link to my web page?
    2. Will my infographics be of use to this audience?
    3. Will this audience buy from me?

    Find out who is engaging with a particular website and whether or not this is an audience who will appreciate your article and advice.

    To build authority via guest posting, it’s also a good idea to take a look at the content a website has already published and stick to the format. For example, do they capitalize their subheadings, do they use images in their content and if so, how do they credit the images?

    When you follow the format of a website blog you are giving the editor less work, and that is very hard for them to say no to.

    A big no-no when it comes to guest posting is to fail to do your research. If you identify 30 blogs and send them generic emails with your pitch before doing any research, you’ll be wasting your time.

    Always take your time to learn more about who you’ll be pitching to. Then, you can adjust your content and send out hyper-personalized emails accordingly.

    Top tip: Avoid spelling and grammar errors in your emails. Use Grammarly and other tools to catch these mistakes before you click send.

    Produce Your Best Content

    It goes without saying that if you want to position yourself as an expert, your content has to be brilliant. Each time you produce a guest post, ask yourself “is this my best piece of content?”

    To this end, you need to produce long-form content (1,000 words minimum) that offers unique insights to the reader. Your advice needs to be actionable, as different as possible to what has come before, and it needs to be of use to the target audience.

    A huge no-no is to spend most of the article discussing things the reader already knows. The key here is understanding who your target audience is and what stage they are at in their journey. For example, if you’re writing an article about the do’s and don’ts of digital marketing to an advanced reader, don’t waste people’s time discussing what digital marketing is. They already know.

    Your content needs to be readable, shareable and it needs to be as up-to-date and relevant as possible. This means understanding the latest trends and including links to recent stats and research (as opposed to information from 2014).

    It’s also a good idea to write from personal experience. After all, you’re the expert here. If you’re writing about a subject you know intimately, don’t be afraid to write from your personal experience while making sure that your personal examples are relatable to others.

    Your best content will need quality images and graphics, too. If you’re not sure where to source images from, you can use a tool like Pik Wizard. To spice up your graphics so that your content is as professional, engaging and eye-catching as possible, meanwhile, Design Wizard is your friend.

    Absolutely do not go into this thinking that you can get away with posting below par content. Impressive content that educates, informs and engages people is the best way to establishing your authority and boosting conversions. The ultimate aim of guest posting is to grab more traffic from other sources and you can only do this by producing your best content.

    Don’t hold back on the value factor. Yes, you’re doing this for free in the sense that you don’t get paid for a guest post. But the ROI will be worth it when you start to build your authority.

    Moreover, the more awesome content you produce, the more chance you’ll have of securing a guest post with a super high domain website, such as Forbes or the Huffington Post.

    Conclusion

    All in all, building authority through guest posting comes down to identifying your value, identifying a related website’s audience – before producing as much valuable, usable content as possible that the audience can take action on. Focus on quality, not quantity, do your research and don’t hold back when it comes to value. Educate, inform but also engage.

    How to Work With a Ghostwriter

    I’ve been a ghostwriter for over 10 years, working on blog articles and even books with people who have a story to tell. I’ve worked with dozens of clients and have written over 3,500 articles in that time, as well as eight books, including my new novel, Mackinac Island Nation.

    My clients have ranged from CEOs of Fortune 500 companies to entrepreneurs running one-person operations, both in the United States and overseas, in a staggering variety of industries. I’ve been able to learn from all of them, and — I hope — they’ve been able to learn from me.

    For those of you who are thinking about working with a ghostwriter, whether it’s for corporate blog articles or even your own memoirs, there are a few things you need to realize before you start.

    It’s going to cost money.

    Writers need to eat. We have to pay our mortgages. We have to take care of our families. We don’t write for the promise of royalties or the exposure. This is not a hobby, this is our job. And just like any skilled position, the better the writer is, the more it’s going to cost. Things will get done faster and they’ll be done better than if you go with the less expensive option.

    So while many people who want to write a book have a fascinating story to tell, a good writer is not going to want to spend 3 – 6 months working on your book in the hopes that they’ll get something from your efforts. It’s impolite to even ask, so if this is your plan for paying them, either save up your money or start writing it yourself.

    Typically, a ghostwriter will ask for half up front and half at the end, but my practice has been to ask for half of the fee up front, one-fourth when we reach the halfway mark, and the remaining fourth when the final chapter is delivered and/or the manuscript has gone through one or two rounds of edits. For corporate ghost blogging clients, I typically work on a retainer basis where there will be a set number of articles written each month, and the client is invoiced on the 1st.

    Be prepared for some give and take.

    This is a collaborative process, and the manuscript will be evolving and changing. When the ghostwriter gives you the first draft, that’s so you can make the big changes, like rearranging sections, clarifying details, and rewriting problem sentences. This isn’t the finished product, so don’t get upset that your writer just handed you a pile of garbage. Your job now is to go back and read it and make sure everything is correct and you’re satisfied with the direction this is going.

    That first stage is also not the time for fixing typos and punctuation or spelling errors. That will come later. Like I tell my clients, there’s no point in polishing a turd, let’s make it a not-turd first. Make all the major revisions and changes before you start fixing the tiny errors.

    Similarly, you will have to call it done at some point. Yes, you want this to be perfect, and you want it to be polished to a high sheen, but that’s not always going to be your ghostwriter’s strong suit. Their job is to write the manuscript, make some revisions, and get it to a reasonable state where a copyeditor could take it over.

    So be sure to work out in advance how many revisions and changes you can ask for. No writer wants to spend 12 months polishing and changing your manuscript, so save your revisions for one major passthrough rather than trickling them in. Typically, you should be able to get to the copyediting stage with no more than two revisions. If you’re not getting there, then one or both of you are the problem.

    Leave the mechanics to your writer

    There’s a very good chance that you’re good at punctuation and grammar, but there’s a very good chance that your ghostwriter is a nerd about it. That means that they know whether the grammar rules we learned in school are totally bogus..

    For example, I was working with a client who tried — rather smugly, I thought — to correct me on a preposition I had used at the end of a sentence. So I explained to him:

    This is a rule that should never have been in existence in the first place, but it had been created by an 18th-century Latin scholar named Robert Lowth in his book, A Short Guide to English Grammar. Lowth had read a similar admonition in a commentary by a 17th-century poet and scholar named John Dryden.

    The problem was Dryden and Lowth were applying Latin rules to English, even though English didn’t actually need a few of those particular rules. It has been unnecessary for centuries, and most grammar nerds will never expect someone to contort their sentences just to follow that rule.

    I could tell by the reaction from the client that he hadn’t expected any of that.

    “Oh,” was all he said, and he never brought up grammar issues again.

    The moral of the story: When someone starts spouting 400-year-old grammar history knowledge, he probably knows when you can break the rules.

    So let him.

    Don’t feel guilty that you’re working with a ghostwriter

    Look, if you could write, you’d be a writer. If you had the time, you could do this yourself. But chances are, you’re working with a ghostwriter because either writing is not your forte or you just don’t have the hours and hours to put in the work.

    This is the same reason you don’t change your own oil, fix your own leaky plumbing, re-roof your own house, or do your own taxes. You want a professional who’s good at what they do so you can look great at what you do.

    Once, when I was ghostwriting a speech for a client, they felt embarrassed to have someone writing for them, like they weren’t important enough to need a speechwriter. I told them it wasn’t a question of being important, it was a question not having the time.

    “Do you have four hours to devote to this project?” I asked.

    “No, I barely have four hours to do anything,” said the client.

    “Well, I do,” I said. “This doesn’t make you too big for your britches, it keeps you from looking unprepared when you give this speech.”

    This is true whether you need a speechwriter, blog writer, or book writer. It’s not a question of whether you’re too important or have more money than sense. It’s a matter of helping you present your best story, whether it’s in a book, your company blog, or even a speech.

    You need a professional who understands the subtleties and nuances of language, can tell your story in a clear and compelling way, and can do it in a timely manner.

    So if you ever need to work with a ghostwriter, be clear and upfront with your expectations, and ask your ghostwriter to do the same with you. Don’t get bogged down in the process and let them do their job, while you do yours.

    Every so often, I will feature guest posts from writers who actually have important and interesting things to say. Joel Syder is a freelance writer and travel blog writer, a topic which is near and dear to my heart. So I wanted to feature his article on travel blogging.

    Writing travel blog posts involves so much more than simply stating ‘Hey, I’m here!’ In fact, with so much noise in the travel blogging niche, it’s becoming more and more difficult to get noticed. Yet to those who pen their travel blog posts in the right way, there are ample means to get impactful results, be that a following, or click-throughs if you are supporting a product or service. With that in mind, here are some tips to producing travel blog posts that actually get results:

    Use an interesting title

    It all starts from the beginning, which in this case is your title. This is a one-off chance to hook the reader into your travel blog post. Make it unique, interesting and quirky if possible. Entice them to read more.

    Find a different angle

    It can be tough to do, but your post also needs to pitch something slightly different too. In a crowded space this may seem overwhelming, but often it entails simply looking at things from a different perspective, i.e. the local people, for example. The great thing about travel is that it involves so many things: sights, people, culture, food, music, language and so on. It doesn’t have to be a huge innovation at all, just look at things through a new set of eyes, and there’s your angle.

    Write engaging content

    In this day and age of SEO, keyword placements, link building and so on, what can be overlooked is the fact that something still needs to be well written. In fact, this is probably truer than ever with all of the options that are available, and with audiences’ patience on the wane. Start strongly, and never let off, using clear, concise language that is proofread for mistakes. And let your personality shine through – no one wants a robotic piece that could have been written by bots! Tell a story that people want to hear, and to do that, put yourself in the shoes of the reader.

    Take your own pictures

    Pepper you piece with unique shots you have personally taken on your travels. Stock photos are easy to spot a mile off, so use personal shots with all their inherent flaws (no one is looking for professional pics) and this adds charm and a genuine reality to your piece: ‘this person has actually been there!’

    “I cannot emphasize enough how important it is to take tons and tons of pictures. And take them of absolutely everything: the food, the landscape, the people (with permission of course), and get yourself in there too, although refrain from the cheesy selfies!,” advises Robbie Wainscroft, a cruise ship worker at 1day2write and Nextcoursework.

    Look for niches within the niche

    It’s important to find a niche too. Of course, travel writing is a niche itself, but as already stated, within this field there are so many sub-categories that the list is almost endless. So, think about exactly what you are aiming for before you start, and who it would appeal too. As an example, organic food production is already a popular topic, but told within the confines of a trip to Southeast Asia, it takes on a whole new angle. When you look at it like this, the possibilities are limitless.

    Jot down everything when you’re traveling

    Remember that everything can give inspiration, but if you are sitting on your sofa trying to recall it, the whole experience becomes a lot more difficult. With that in mind, just keep writing down stuff as you are in the middle of things, or use a dictaphone to make remarks. No matter how mundane they may seem at the time, just having these words as a reference will inspire memories, smells and sounds and a later stage.

    Consider SEO

    Writing well is the key, but if this can be performed in conjunction with SEO principles, then you really are on to a winner. Research keywords and think about synonyms and related phrases. Gone are the days of stuffing, but natural placement of a few integral words will certainly boost the piece on those all-important search engine rankings. But the difference is, nowadays it doesn’t need to come at the expense of quality, which is great news for serious writers.
